This Policy does not apply to information collected by third parties, including through any application or content that may link to or be accessible from our website.

2. Who we are

2.1 This website is made available to you by SEG3 Ltd, a UK-based business. We respect your right to privacy and will only process personal data you provide to us in accordance with the UK General Data Protection Regulation ("UK GDPR"), the Data Protection Act 2018, the Privacy and Electronic Communications Regulations 2003 (as amended) ("PECR"), and other applicable UK data protection law.

2.2 We are a controller for the purposes of the data protection laws. This means that we are responsible for deciding how to hold and use personal data about you. SEG3 Ltd is required under data protection laws to notify you of the information contained in this policy.

3. An important note about children

3.1 We do not and will not knowingly collect information from any child under the age of 18. If you are under the age of 18, you must not use any of the Services.

4. The personal data we collect about you

4.1 When you access and browse the Services (including when you submit personal data to us through data entry fields on the Services), we may collect the following information from you: (i) Your name; (ii) Your postal address (this is optional); (iii) Your phone and e-mail details; (iv) Your employment details; and (v) Any other personal data that you choose to upload to or post on the Services, including blogs, photographs, messages, hobbies and interests and other personal details.

4.2 We also collect personal data when you subscribe to our newsletter (processed via our email newsletter platform), apply to speak at or sponsor one of our events, request a research report, or otherwise submit an enquiry through a form on our website (processed via our website forms and CRM provider). This may include the data described in 4.1 above, together with details of the specific enquiry or submission you have made.

4.3 We use Google Analytics to process analytical data about your use of our website ("usage data"). The usage data may include your geographical location, browser type and version, operating system, referral source, length of visit, page views and website navigation paths. This usage data is processed for the purposes of analysing the use of the website and services, on the basis of monitoring and improving our website and services (our legitimate interests). Google Analytics is set using a non-essential (analytics) cookie, and where required by law we will only set this cookie once you have given your consent via the cookie banner on our website — see Section 11 below. You can change your cookie preferences at any time using the "Manage Cookie Preferences" link in the website footer, and you can separately opt out of Google Analytics entirely by installing this browser add-on: https://tools.google.com/dlpage/gaoptout

4.4 We (or a photographer or videographer appointed by us) may also take photographs and film or audio footage at our events, which may include images or recordings of Delegates, Exhibitors and other Participants. As set out in our event Terms & Conditions, by attending an event you consent to being photographed or filmed and to our use of that footage for marketing and promotional purposes, including on our website, social media channels and in future promotional materials. If you do not wish to be photographed or filmed, please inform a member of the SEG3 team on-site.

5. How we may store and use your information

5.1 We (or third party data processors acting on our behalf) may collect, store and use your personal data listed above for the following purposes:

a. to make the Services available to you and to provide you with content which is tailored to your individual tastes;

b. to complete any purchases you make through the Services and to provide you with services that you request;

c. to further develop and improve the Services;

d. to maintain and support any customer account that you have with us;

e. to manage your subscription to our newsletter and communicate with you about it;

f. to process and respond to speaker, sponsorship, research and general enquiries submitted through our website forms;

g. to include (or to permit the inclusion of) advertising within the Services of our own and third party products, services and promotions that we or they think may interest you;

h. where you have given us your consent, to contact you (including by SMS and e-mail) with invitations, services and opportunities which we think may interest you; and

5.2 Other than as set out in this privacy policy, we will not disclose, sell or rent your personal data to any third party unless you have consented to this. If you do consent but later change your mind, you may contact us and we will cease any such activity.

5.3 However, if a third party acquires all (or substantially all) of our business and/or assets, we may disclose your personal data to that third party in connection with the acquisition.

5.4 We may also disclose your personal data where we are required to do so by applicable law, by order of a court, by a governmental body or by a law enforcement agency. We may also disclose your personal data in the context of investigating or reporting any issue arising in connection with activity by you or content supplied or purporting to be supplied by you, to you or on your behalf that we reasonably believe could be unlawful or otherwise in breach of our terms of service.

6. Third-party service providers and Technology Licensor disclosures

6.1 We use a small number of trusted third-party service providers to help us run our website, events and communications — for example, providers of website hosting, event and enquiry forms/CRM, and email newsletter delivery. These providers only process personal data on our instructions and in accordance with this Policy.

6.2 We may also disclose your personal data to the business that provides us with technology infrastructure and hosting services for the Service (the "Technology Licensor"). The Technology Licensor will use your personal data in order to check that you are using the Services in a way that complies with applicable law, does not infringe the rights of any third party, to maintain and improve the infrastructure and hosting services that it provides to us, to serve advertising within the Services of third party products, services and promotions that it thinks may interest you and otherwise in accordance with its privacy policy.

7. International transfers

7.1 We may transfer personal data that we collect from you to third parties (including the Technology Licensor and our other service providers) located outside the United Kingdom where necessary to exercise, or in connection with, the uses of your data described above. Where we do so, we will ensure appropriate safeguards are in place in accordance with UK data protection law — for example, by only transferring personal data to countries covered by UK adequacy regulations, or by using UK-approved transfer mechanisms such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. 8. Retaining and deleting personal data

8.2 Personal data that we process for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes.

8.3 Personal data relating to SEG3 Ltd events will be retained for a maximum period of three years.

8.4 Notwithstanding the other provisions of this Section 8, we may retain your personal data where such retention is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person.

If you make such an objection, we will cease to process your personal data for this purpose/mailing list only. You'll be able to opt-out from emails we send you by clicking on the unsubscribe link at the bottom of those emails for that specific communication, e.g. Marketing, Events or Newsletter.

10.8 You have the right to object to our processing of your personal data for scientific or historical research purposes or statistical purposes on grounds relating to your particular situation, unless the processing is necessary for the performance of a task carried out for reasons of public interest.

10.9 To the extent that the legal basis for our processing of your personal data is: a. consent; or b. that the processing is necessary for the performance of a contract to which you are party or in order to take steps at your request prior to entering into a contract, and such processing is carried out by automated means, you have the right to receive your personal data from us in a structured, commonly used and machine-readable format. However, this right does not apply where it would adversely affect the rights and freedoms of others.
